About the Role
The Site Administrator is responsible for providing high-quality administrative support to the project team to ensure the efficient day-to-day operation of the site. The role assists with document control, data entry, procurement administration, reporting, onboarding, scheduling, and general office coordination while maintaining accurate records and supporting compliance with company policies and project requirements. The Site Administrator works closely with project managers, engineers, supervisors, subcontractors, and corporate support teams to contribute to the successful delivery of project objectives.
Key Responsibilities
- Provide administrative support to the Project Manager and site team.
- Maintain project documentation, records, registers, and filing systems.
- Coordinate document control, ensuring project documents are current and accurately distributed.
- Prepare correspondence, reports, meeting minutes, and presentations as required.
- Manage site inductions, onboarding documentation, and training records for employees and subcontractors.
- Coordinate travel, accommodation, and site access arrangements where required.
- Raise purchase orders and assist with procurement administration.
- Process invoices and support cost tracking in accordance with company procedures.
- Maintain timesheets, attendance records, and other workforce administration.
- Assist with scheduling meetings, site events, and project activities.
- Ensure office supplies, equipment, and site facilities are maintained.
- Support compliance with company policies, quality, environmental, and Work Health and Safety (WHS) requirements.
- Assist with the preparation of project reports and client deliverables.
- Liaise with internal departments, subcontractors, suppliers, and clients to support project activities.
- Maintain confidentiality of company and employee information.
- Provide general reception and administrative support for visitors and site personnel.
Qualifications & Experience
- Previous experience in an administrative role, preferably within construction, engineering, infrastructure, or a similar industry.
- Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
- Strong experience managing documentation and maintaining accurate records.
- Knowledge of document control systems (e.g. Aconex, TeamBinder, Procore, SharePoint or similar).
- Experience with procurement, invoice processing, or project administration.
- Familiarity with ERP systems such as SAP, Oracle, or similar.
