About the role 

The Document Control Cadet supports the review, update, and standardisation of BYCA IMS documentation in accordance with the latest approved Style Guide and organisational requirements. This role is responsible for assisting with document formatting, structure, terminology consistency, version control, and document tracking to ensure all records are accurate, compliant, and maintained to a high standard. The position plays an important role in improving the quality, consistency, and usability of controlled documents across the organisation.

 

Key Responsibilities 

  • Update the BYCA 517 document in line with the latest approved Style Guide.
  • Review IMS documents to ensure formatting, structure, and terminology are consistent with organisational standards.
  • Assist with document standardisation across templates, headings, numbering, fonts, tables, and references.
  • Maintain document version, control and ensure revision histories are accurate and up to date.
  • Track document changes, updates, and approval status throughout the review process.
  • Ensure all document updates are properly recorded and archived in accordance with document control procedures.
  • Support quality checks to confirm documents are clear, accurate, complete, and professionally presented.
  • Liaise with relevant stakeholders to obtain feedback, confirm required changes, and support document approval workflows.
  • Identify inconsistencies or non-compliance issues in documentation and escalate where required.
  • Contribute to continuous improvement of document management practices within the IMS framework.

 

Qualifications & Experience 

  • Certificate-level qualification or current study in Business Administration, Quality Management, Information Management, or a related field is desirable.
  • Previous experience in administration, document control, records management, or quality systems support is advantageous.
  • Experience working with controlled documents, templates, or style guides is preferred.
  • Proficiency in Microsoft Office applications, particularly Word, is required.
  • Good understanding of document formatting, editing, and standardisation principles.
  • Ability to follow style guides, templates, and document control procedures.
  • Ability to maintain accurate records and manage version control effectively.
  • Basic understanding of quality assurance, compliance, or IMS documentation processes
