Job Title: HSW Data & Systems Assistant
Department: Health, Safety and Wellbeing
Reporting to: HSW Lead
The Role
The HSW Data & Systems Assistant supports the Health, Safety and Wellbeing team and delivery teams by maintaining accurate HSW data, coordinating reporting activity, supporting audit and assurance processes, and administering the digital platforms used to manage HSW documentation and performance information.
Key Responsibilities
- Support the HSW team with the administration and maintenance of management systems, including the tracking of corrective actions, improvements and system updates.
- Monitor, record and report HSW team performance data to support effective governance, assurance and decision-making.
- Monitor organisational changes and update relevant HSW systems, records and reporting structures accordingly.
- Review HSW inspection, assurance and monitoring templates within the system, working with the HSW management team to ensure they remain accurate and effective.
- Maintain the status of HSW documents, ensuring records are current, controlled and accessible through the appropriate digital platforms.
- Maintain and monitor integrations between platforms used for HSW data capture, reporting and document management.
- Identify errors or inconsistencies in HSW reports and work with the BIM team and other stakeholders to resolve issues promptly.
- Support registered Considerate Constructors Scheme sites and site champions with relevant data, documentation and reporting requirements.
- Represent the HSW team in the planning, coordination and facilitation of monthly audits and assurance activities.
- Attend HSW weekly team meetings as required and support the coordination of actions, updates and follow-up information.
- Collaborate with Joint Venture’s parent companies by responding to data requests, sharing lessons learnt and attending relevant meetings where required.
- Assist with client assurance activities, including preparing information, supporting meetings and coordinating follow-up actions.
- Monitor workforce feedback and associated actions, producing and distributing weekly reports to relevant stakeholders.
Essential Skills & Experience:
- Intermediate skills and experience using Microsoft Office applications, including Word, Excel, PowerPoint and Outlook.
- Previous experience working with document management systems or similar digital platforms.
- Ability to learn new digital systems quickly and confidently.
- Strong attention to detail, with the ability to respond effectively to changes and requests.
- Ability to work independently, use initiative and collaborate effectively as part of a team.
Desirable:
- Experience using digital data platforms, reporting tools or workflow management systems.
- Basic knowledge and understanding of business management processes and/or health and safety management systems.
