Work with the Project Manager, PMCA/PM, Property and Asset Services (PAS), Zone Estate Management and Planning (EMP) representative, Defence representatives and other stakeholders to monitor handover readiness, resolve information gaps and progress acceptance actions and Defects Liability Period (DLP) close-out. The role supports and records the handover process; Defence retains the formal Takeover decision.

Key Responsibilities

  • Track commissioning and testing activities, completion status, evidence and outstanding actions.

  • Monitor the preparation and submission of handover evidence, including estate information, as-constructed documents and Operations and Maintenance (O&M) manuals.
  • Maintain document registers and follow up with project teams, subcontractors and suppliers on overdue or incomplete information.
  • Coordinate handover meetings, inspections and readiness reviews with relevant project and Defence stakeholders.
  • Record decisions, actions, dependencies and risks, and follow up with action owners to support timely resolution.
  • Track acceptance actions with the PMCA/PM, PAS, Zone EMP representative and other stakeholders.
  • Monitor outstanding defects and DLP close-out actions, maintaining clear records of status and supporting evidence.
  • Identify gaps that may affect handover readiness and escalate them to the Project Manager or relevant lead.
  • Prepare progress reports on HOTO, commissioning, documentation, acceptance actions and DLP close-out.
  • Ensure handover records are organised, accurate, traceable and stored in accordance with project requirements.
  • Support the coordination of handover activities without making or representing Defence's formal Takeover decision.

  • Familiarity with HOTO plans, checklists, action registers and handover documentation.
  • Knowledge of estate information, as-constructed documentation and O&M manuals.
